Job Summary

Perform clerical and secretarial functions; include word processing, spreadsheet, database software and e-mail. Maintain confidential hard copy and electronic files of updated Conference Procedural forms and documents. Assist Conference Coordinators with research, analysis, preparing and writing reports. Assist in creating (both standard and e-mail) of marketing materials to current and potential clients. Maintain current client contact information lists. Ability to professionally conduct telephone surveys. Design and complete the compiling, writing, and editing of quality finished memorandum, ad brochures, email blasts; it is helpful if candidate can maintain marketing lists, reports and other documentation using Word, Excel, Power Point, MS Publisher, Adobe Photoshop CS, Adobe InDesign CS2 and other systems.

Essential Responsibilities and Duties

Assist in the daily operations of the conference center by receiving incoming client calls for information and event reservations; for both the college and community. Be aware of the types and quantity of audio/visual equipment and event spaces available for clients. Conduct sales tours of the Miller Campus Conferencing Facilities to maximize client space usage and event success. Close space rental sales by completing, e-mailing or faxing scheduling request forms, contracts, and other confidential event related documents and information to clients. Create working (tickler) files for time sensitive events. Assist Conference Coordinators in contract compliance.

Essential Responsibilities and Duties Continued

Assist clients, staff, faculty and students with information and directions. Provide highest level of customer service at all times, both in services and accommodations, anticipating customer needs where possible. Perform event/account data-entry, filing and scheduling of confidential client information. Conduct daily call-backs to clients to gather the latest event details for their upcoming events. Document all additions/changes in the event books, time sensitive working files and event scheduling software. Assist in compiling and regularly updating weekly event books. Contact clients to ensure that information on event set up and equipment needs have been gathered to clarify expectations, and to provide excellent customer service.

Preferred Qualifications

Strong sales and customer service orientation, communication skills, reliable and punctual; knowledge of Microsoft Office (Word and Excel proficient); ability to handle sensitive client information with discretion while maintaining confidentiality; ability to handle conflict resolution with calm and deliberation; detailed oriented; ability to set priorities and handle concurrent multiple tasks; maintain professional, positive attitude and neat appearance; ability to grow, adapt, take direction and work independently; interpersonal, problem solving, and decision making skills; ability to type 35 words per minute.

Minimum Qualifications

High School diploma and customer service experience preferred.

Knowledge, Skills & Abilities

Customer service skills and MS Office skills are a plus.

Ability to communicate effectively with a broad range of diverse people, ability, culture, ethnic background, to maintain good working relationships across the College. Ability to work with all groups in a diverse academic, socioeconomic, cultural and ethnic background of community college students, faculty and staff, including those with disabilities and special needs.

Non-Essential Responsibilities and Duties

Accurately calculate and disseminate costs for event space, equipment, services and personnel to clients. Clearly outline client payment options and ensure that deposits and payments for events are received promptly. Protect client confidential information. Conduct post event “Thank You” calls to show appreciation to clients and to ensure that events were facilitated appropriately. Update permanent client account files and close out working files, in preparation for upcoming events.
