Job Summary

Perform unique office functions for the Division of Nursing program which may include advising partnership students on how to understand, prepare for, and meet specialized admissions requirements including advisement of students concerning transfer credit articulation policies affecting their admissions application. Advise students regarding proper application.

Create and coordinate an applicant tracking and filing system including training and coordination with other staff members in accomplishing this task. System includes data entry, file creation and maintenance, scanning and indexing of documents.

Adhere to and organize work flow around deadlines to each program and in coordination with the Nursing Associate Dean and Program Coordinators.

Work closely with the Nursing Division Associate Dean, Hospital Student Placement (clinical) Coordinators and Program Coordinators to develop agreements on how formal approved admissions policies are to be interpreted, and enforced.

Stay current in processes, data management and information associated with offices of Academic Advising, Incoming Transcripts, Enrollment Services, Data Center, Biology department and other related areas in order to the maintain accurate student files.

Write correspondence that clearly and succinctly informs students about their application status, missing requirements, required documents (CNA certification, immunization records, background checks, etc.) orientation dates, student alternate responsibilities, etc.

Notify students, in writing or by phone, of missing documents and changes in their admissions status; notify admitted students of start terms and of Health Sciences orientation dates, respond quickly to requests for information and application materials. Organize, document and archive all correspondence.

Approve qualified applicants for the partnership program(s). Register all partnership students for their required nursing courses.

Provide periodic research and reports for the Nursing Division Associate Dean and Program Coordinators.

Maintain with high accuracy student files for partnership students who are applying.

Participate in other committees involving work on Nursing Division selective admissions criteria, etc.

Preferred Qualifications

Knowledge of college policies and procedures preferred.

Higher education work experience preferred.

Customer service experience.

Experience with inventory tracking.

Office experience including data entry, scheduling, writing effective emails, and minute taking,

Minimum Qualifications

Associates degree (or 60 completed credits of post secondary education).

Zero (0) to two (2) years of direct, paid, full-time work experience.

Knowledge, Skills & Abilities

Good skills utilizing common software programs, including word processing, spreadsheet and database systems.

Ability to prioritize and organize multiple tasks.

Ability to perform detailed tasks for extremely accuracy.

Ability to work well with students, faculty and administrators in resolving complex problems.

Excellent customer service and communication skills.

Ability to coordinate with other staff members, including training, daily task assignment and progress on project completion.

Plan, organize, and coordinate projects and activities effectively. Work effectively under pressure and resolve issues amid difficulties.

Ability to work both independently and as a team member.

Ability to communicate effectively with a broad range of diverse people, ability, culture, ethnic background, to maintain good working relationships across the College.

Non-Essential Responsibilities and Duties

Attend other trainings and workshops to stay current on college trends, software and customer serve concepts.
