Job Summary

This position supports the Director of Advancement Services for prospect management, gift processing, report production and data analysis. This position requires highly detail oriented candidate with a critical degree of accuracy regarding data entry and analysis; good interpersonal and organizational skills; ability to prioritize work and to perform multiple tasks simultaneously while adhering to deadlines; good problem-solving and analytical skills; ability to take responsibility, to work well as a team member and to work independently; ability to understand and follow directions and complex policies and procedures; ability to deal with confidential data.

Essential Responsibilities and Duties

Enter and maintain data in Banner Advancement database system and audit the integrity of that data.
Accurately and efficiently enter all gifts into the database and prepares acknowledgement letters in the time period set by the office.
Required to accurately value gifts of securities for donor gift and tax purposes and university records. Required to make decisions and judgments involving the proper entry, allocation and documentation of College gifts and accurately match pledge payments to the correct pledges. Reviews and analyzes data problems. Reviews and suggests changes to data entry procedures in order to minimize data reporting errors. Expected to handle inquiries and questions directly.
Prepare deposits and session reports.
Maintain database records for all prospects and donors including the maintenance of demographic information, importation of select lists, and the batch coding of records for tracking purposes including organizational relationships, communication codes, and event attendees.
Collaborate with other offices to obtain data for periodic updates (i.e.- graduation processes, HR processes, etc.)
Work collaboratively with Development staff to develop the College’s Prospect Database.
Conduct prospect research, using subscription and free information sources. Prospects include individuals, corporations and foundations. Research will be proactive, with prospects identified by the prospect researcher, and reactive, with the prospect researcher responding to requests from the President, Vice President of Institutional Advancement, Executive Director of Development and Assistant Director of Development.
Develop and write detailed prospect profiles, and in working with the gift officers, set ask amounts and develop strategies.
Track the prospect pool for gift officers, moving prospects through the cultivation, solicitation, and stewardship stages.
Develop reports and prepare data analysis on donor prospects using various tools and methodologies.
Use software programs in use in the Development office, attending training sessions when available.
Participate with the creation of briefing sheets on attendees at College events for the President, Vice President of Institutional Advancement and Executive Director of Development.
Work closely with the gift officers to coordinate necessary stewardship and donor relations activities.
Accurately and efficiently process gift acknowledgment letters and tax statements.
Aid in crafting invitation lists to cultivation events.
Aid in crafting mailing lists for variety of mailings, both ongoing and one-time.

Preferred Qualifications

Strong preference given to candidates with prospect research or advancement experience.

Strong preference given to candidates with experience working in relational databases, especially Banner Advancement.

Minimum Qualifications

Bachelor degree required in a related field.

Zero (0) – three (3) years direct, paid, full-time, database work experience.

Substitutions allowed for education and experience on a 2:1 basis.

Knowledge, Skills & Abilities

High level of computer literacy, preferably with MS Word, MS Excel and the ability to learn Web-based search tools as well as the College’s integrated database system.
Proficiency in written and verbal communication.
Proven ability to exercise reasoned, independent judgment while adhering to standard practices and policies.
Ability to work with sensitive information with complete confidentiality.
Ability to communicate effectively with a broad range of diverse people, ability, culture, ethnic background, to maintain good working relationships across the College.

Ability to work with all groups in a diverse academic, socioeconomic, cultural and ethnic background of community college students, faculty and staff, including those with disabilities.
