Job Summary

The Director of Advancement Services (DAS) will provide operational oversight to the development office including technology vision and leadership, gift processing and research, and records for the Office of Development. The DAS will lead the advancement team in planning and implementing system and database changes, including enhancements.

Position is at will.

Essential Responsibilities and Duties

SYSTEMS ADMINISTRATION/REPORTING
1. Manage the implementation of new division-wide information systems, statistical and data analysis as needed
2. Promote and oversee relationships between the Advancement team and internal IT resources
3. Ensure all information systems work and operate as defined in standard operating procedures
4. Develop training and provides support to end-users
5. Define standards and procedures for all Institutional Advancement systems
6. Ensure data is entered into master databases according to defined data standards
7. Develop system outage processes
8. Facilitate After Action Reviews in the event of system problems/failures
9. Oversee documentation and communication related to all Institutional Advancement systems
10. Determine, as necessary any gaps in processes and/or systems
11. Identify reporting needs within Advancement
12. Implement day-to-day and long-term reporting standards and practices
13. Define standards for reporting/data integrity
14. Identify tools needed for donor gifts, prospect research, and donor profiles
15. Create system RFI and RFPs, including a scoring mechanism for awarding business to outside technology vendors
16. Participate in college committees, as needed
17. Manage a development officer for services who performs the day-to-day operations of gift recording and research.
CONTRACT SUPPORT
1. Provide data and make organizational decisions for the department. Review all system contracts and procedures for the Institutional Advancement
2. Develop and maintain standards for optimizing effectiveness of IT solutions used by Institutional Advancement 
3. Maintain contact with IT suppliers and maintain knowledge of current technology, equipment, prices, and terms of agreements
4. Coordinate with IT on master purchase or lease agreements for information systems for Institutional Advancement
5. Develop and monitors budget for system needs within Institutional Advancement
6. Manage relationships with vendors providing systems to the Advancement department
7. Responsible to circulate contracts for department feedback
OPERATIONS
1. Provide operational support for the office of development and the SLCCFoundation
2. Oversee the gift receipt process, including gift entry, donor acknowledgment and money handling
3. Oversee the reporting processes in the Development office
4. Facilitate the reporting of donor gifts to the Foundation Board
5. Oversee weekly, monthly, quarterly, and annual reporting processes
6. Ensure all gifts are processed timely
7. Responsible for strategic and tactical planning for the Foundation
8. Ensure operational procedures do not contradict technology procedures
10. Responsible to ensure record retention guidelines are adhered to 
11. Responsible to oversee development officer responsible for the gift process during annual events (i.e. the golf tournament) 
12. Responsible to create and track donor pipelines
13. Oversee prospect research activities

Strong preference given to candidates with prospect research or Advancement experience

Strong preference given to candidates with Banner Advancement experience

Strong preference given to candidates with project management and process engineering experience

Strong preference given to candidates with experience working on technical projects or in the technology sector

Minimum Qualifications

Bachelor degree in Business, Computer Science, or other related field. Master’s Degree Preferred.

Five (5) or more years with direct, paid, full-time progressive leadership experience in a business, technology, or higher education environment. Significant experience overseeing projects, preferably projects involving some software implementation. Experience should include exposure to external vendors and internal customers.

Knowledge, Skills & Abilities

High level of computer literacy, preferably with MS Word, MS Excel and the ability to learn web-based tools, as required

Familiarity with software such as Ellucian Advancement modules Advance (Banner.)

Familiarity with Project Management tools such as MS Project

Familiarity with Process Mapping and Process Redesign, including the use of mapping tools such as Visio or Lucid Chart

High degree of efficiency when working on multiple projects

Experienced in data analysis

Ability to create Business and System Requirement Documentation

High attention to detail

Proven ability to exercise reasoned, independent judgement while adhering to standard practices and policies

Ability to work collaboratively and cross-functionally

Ability to gain consensus from multiple groups using soft and hard skills

Ability to identify gaps in processes or systems using gap-analysis methodology

Comprehensive knowledge of forecasting practices

Ability to relate to all levels of the organization

Ability to manage staff members and work flow for the Development office

Ability to comprehend complex and technical subjects

Ability to communicate effectively with a broad range of diverse people, ability, culture, ethnic background, to maintain good working relationships across the College.

Ability to work with all groups in a diverse academic, socioeconomic, cultural and ethnic background of community college students, faculty and staff, including those with disabilities.
