Job Summary

Provide all scheduling office support and operations at the Miller campus. Coordinate setup of scheduled events with conference coordinator, accounts receivable and event setup staff. Coordinate the efficient gathering, documenting, transfer and data-entry of confidential client/event logistical and account information for the Miller conferencing department, while assisting in the efficient flow of information throughout the event reservation, contract and customer service process. Maintain accurate data entry and filing systems. Assist in promoting contract compliance.

Essential Responsibilities and Duties

Schedule all academic and non-academic events at the Miller campus including, classes, workshops, meetings, conferences and vendor shows. Assist in the daily operations of the conference center by receiving incoming client requests for information and event reservations; for both the college and community. Conduct sales tours of the Miller campus conferencing facilities to maximize client space usage and event success. Receive and enter event/payment information into EMS. Provide event documentation for all Miller campus events including clarification of logistical information for all upcoming daily and weekly events. Complete, e-mail or fax scheduling request forms, contracts, and other confidential event related documents and information to clients. Generate and send confirmation letters with prepayment information to clients. Accurately calculate and disseminate costs for event space, equipment, services and personnel to clients.

Create and maintain files including, pending tentative events, confirmed events, individual daily events, and permanent files. Create working (tickler) files for time sensitive events. Know the types and quantity of audio/visual equipment and event spaces available for clients. Coordinate and perform event/account data-entry, filing and scheduling of confidential client information. Supervise and conduct daily callbacks to clients & gather the latest event details for their upcoming events. Document all additions/changes in the event books, time sensitive working files and event scheduling software. Coordinate with Miller Accounts Receivable to clearly outline client payment options and ensure the timely acquisition of deposits and payments for events. Perform confirmation callbacks to ensure event information, set up and equipment needs have been properly identified.

Collect deposits and payments from conference clientele, in cooperation with the Miller cashier/finance office. Create and maintain the weekly schedule of events and weekly callback books, providing frequent updates of information. Perform post event update of files and software following the previous weekly events. Perform general purchasing for conferencing department. Oversee compiling and regularly updating weekly event books. Assist in promoting contract compliance.

Assist in ensuring that the highest level of customer service is provided at all times to both internal and external clientele. Assist the staff, faculty, conferencing clientele and other college guests with information and directions. Protect client confidential information. Assist conference coordinator in contract compliance. Disseminate event information to event consultants, sales department, setup/hosting, reception, and/or information technology.

Preferred Qualifications

Two (2) years of related paid full-time experience or equivalent.
EMS Scheduling SW trained and customer service experience preferred.

Minimum Qualifications

High School Diploma or GED required.

Zero (0) to one (1) years of related, paid full-time experience or equivalent.

Knowledge, Skills & Abilities

Knowledge of facility rentals and space utilization required.
Knowledge of College policies and procedures and facility use, supervisory and record keeping skills, organize files and materials, plan and organize effectively, Business English and Math skills.
Be detail oriented and able to multi-task. Have ability to type accurately.
Work well under pressure and meet daily time constraints.
Communicate, support and work well with a diverse group of people.
Proficient in word processing required. Familiarity with EMS scheduling experience preferred.
Communicate with and be customer service proficient with internal and external clientele. Have the ability to operate effectively in a multi-department environment.

Ability to communicate effectively with a broad range of diverse people, ability, culture, ethnic background, to maintain good working relationships across the College.
Ability to work with all groups in a diverse academic, socioeconomic, cultural and ethnic background of community college students, faculty and staff, including those with disabilities.
