Job Summary

Perform intermediate level secretarial duties, including maintaining records and files; answer multiple phone lines, direct calls, take messages; compile and type correspondence, reports, and minutes from written or dictated material. Assist with events and programs as needed. Comfortable with speaking in public, conducting tours with prospective students, and assisting with promotional efforts, including occasionally running informational booths at events. May require occasional early morning or later evening hours. Ability to work with and safeguard confidential information a must. Provide effective and professional communication both face-to-face and via telephone.

Essential Responsibilities and Duties

Assist with event and program logistics, including scheduling and arranging requested services.
Assist with scheduling and leading campus tours. Work effectively in a team environment. Communicate effectively with a wide variety of people through oral and written communications. Work accurately with detail oriented materials. Complete multiple tasks effectively. Direct walk-in traffic and disseminate information
Ability to work with and safeguard confidential information. Take minutes for meetings as needed. Open, sort and distribute mail daily. Accept, track and distribute incoming and outgoing paperwork
Intermediate proficiency with technology: Microsoft Office Suite and Outlook.

Minimum Qualifications

High School Education with experience working in an office and customer service experience.

Knowledge, Skills & Abilities

Must be able to work with confidential documents. Must be able to perform clerical tasks effectively under stress. Must have effective communication skills, customer service skills and diplomacy skills.
Needs knowledge and skill with Microsoft Office Suite, Outlook, Windows, network systems, electronic mail and voice messaging minute or note taking, and database usage and entry.

Self-motivated team player with the ability to organize and set priorities. Detail and accuracy orientated with the capacity to work well under pressure. Proficient typing skills with the ability to learn a variety of software programs. Ability to operate office equipment with knowledge of general office procedures. Knowledge of College policies, procedures and operations preferred. Basic accounting skills and some experience with Adobe Photoshop a plus. Customer Service knowledge and skills.

Ability to communicate effectively with a broad range of diverse people, ability, culture, ethnic background, to maintain good working relationships across the College. Ability to work with all groups in a diverse academic, socioeconomic, cultural and ethnic background of community college students, faculty and staff, including those with disabilities and special needs.
